Terms & Conditions

General Delivery Terms of Kämp Group Restaurants as of 1 January 2012


1. Prices

All prices are in euros and include VAT.


2. Setup Charge

All facilities are subject to a charge, unless mentioned otherwise in the offer. Meeting and group work facilities are charged separate rent specific to the premises. Changes in furniture, extra furniture and other arrangements are charged separately. Audio and audio-visual services and devices which are not part of the basic fixtures of the restaurant/meeting facility will be charged separately. If, on request of the orderer, the supplier of the served goods acquires special permits such as an extended license to dispense alcohol or a notification on temporary catering, or undertakes special arrangements such as acquiring a show, band, decorations and structures, etc., the orderer shall be liable for all costs incurred by these actions.


3. Methods and terms of payment

Unless different payment terms have been agreed on, the orderer will pay cash or by credit/debit card. If the orderer is an invoicing customer of Palace Kämp Group Oy, a combined invoice can be made for the event, which will be charged later. In this case, the invoicing charge in use at Palace Kämp Group at the time will be added to the invoice (€16.00 on 1 January 2012) If the invoice for the event is divided on the customer’s request, the invoicing charge will be added to each separate invoice (€16,00). If Palace Kämp Group so wishes, it may charge the customer for part of the invoice in advance. Such arrangements are agreed on case-specifically. Payment terms are net seven days, and penal interest is regulated by the Interest Act


4. Orderer’s responsibility

The orderer is responsible for protecting the rented facilities or fixtures from damage. The orderer shall be responsible for all damage caused to the premises or its movables by the devices, personnel, performers or event attendees of the orderer. The orderer is responsible for all equipment and movables s/he has brought to the premises. The orderer agrees to follow the instructions given by the staff of the location in matters concerning the usage of the house, furniture and devices. In the case of an accident, Palace Kämp Group shall charge the orderer for all repairs and cleaning costs, etc.


5. Assigning the contract

The customer shall not have the right to assign the contract or sign over the rented facilities to a third party without the consent of the operational centre.


Delivery Terms of Palace Kämp Group Meetings & Events reservations as of 1 January 2012

1. Order confirmation and verifying the total number of attendees

The order confirmation must include:

 total number of attendees
 schedule and programme of the event, times of meals and possible special diets
 equipment necessary for meeting
 the names of the hosts

Events of over 50 people

 order confirmation at the latest two (2) weeks before the date of the event
 after this, the total number of attendees can be changed by +/- 10%
 the final invoice is based on the confirmed total number of attendees, confirmed four business days before the event.

Events with 11-50 people

 order confirmation at least one week before the date of the event
 after this, the total number of attendees can be changed by +/- 10%
 the final invoice is based on the confirmed total number of attendees, confirmed three (3) business days before the event.

Events with 1-10 people

 order confirmation at the latest three (3) days before the date of the event
 the final invoice is based on the total number of attendees confirmed with the order confirmation


If the total number of attendees changes more than +/- 10% after the order confirmation, Palace Kämp Group shall reserve the right to revise the price of the event to change the rented facility to another one and renegotiate other details of the event. If the total number of attendees is reduced more than 20% after the order confirmation, we will charge half the order value of the cancelled attendees.

2. Cancellation terms

The order by the orderer is binding. However, the orderer may cancel the order, in which case Palace Kämp Group will charge the orderer, depending on the size of the cancelled event and the date of cancellation as follows:

1-10 people14 days before the date of the event
- no charge
7-13 days before the date of the event
- 50% of the order value
4-6 days before the date of the event
- 75% of the order value
0-3 days before the date of the event
- 100% of the order value
11-50 people30 days before the date of the event
- no charge
14-29 days before the date of the event
- 50% of the order value
8-13 days before the date of the event
- 75% of the order value
0-7 days before the date of the event
- 100% of the order value
50-150 people60 days before the date of the event
- no charge
30-59 days before the date of the event
- 50% of the order value
14-29 days before the date of the event
- 75% of the order value
0-13 days before the date of the event
- 100% of the order value
151-250 people90 days before the date of the event
- no charge
60-89 days before the date of the event
- 50% of the order value
30-59 days before the date of the event
- 75% of the order value
0-29 days before the date of the event
- 100% of the order value
over 250 people120 days before the date of the event
- no charge
90-119 days before the date of the event
- 50% of the order value
60-89 days before the date of the event
- 75% of the order value
0-59 days before the date of the event
- 100% of the order value


If the details and catering of the event have not been agreed on, the grounds for the cancellation charge are the facilities-based rent of the above-mentioned event and, with regard to catering, the lowest-priced meeting package or offer-related menu.


The Delivery Terms for Palace Kämp Restaurants’ Restaurant Reservations as of 1 January 2012


1. Shared choice of menu

Groups of 16 and below this number may order from the menu at the location and pay separately. Groups of over 16 people are required to place an order on dishes and drinks in advance and shall be charged as a group.


2. Shared table

If the reservations allow, the largest shared table seats 12 people. Shared tables larger than 12 seats need to be arranged restaurant-specifically.


3. Recommendation menus for groups

Recommendation menus are available for groups of over eight (8) people. The announced price requires a shared choice of menu. If the catering ordered is not a shared choice of menu, the dishes will be charged as à la carte orders.


4. Ordered menus: order confirmation and verifying the total number of attendees

The order confirmation must include:

 the total number of attendees
 the schedule and programme of the event, times of meals and possible special diets
 the names of the hosts
Private events
 order confirmation at the latest two (2) weeks before the date of the event


Reservations for over 15 people

 order confirmation at least one week before the date of the event

Reservations for 8 -15 people

 order confirmation at the latest three (3) working days before the date of the event

The final invoice is based on the total number of attendees confirmed with the order confirmation. If the total number of attendees is reduced, the total number of attendees confirmed when making the order confirmation shall be the basis for invoicing.


5. Cancellation terms

The order by the orderer is binding. However, the orderer may cancel the order, in which case Palace Kämp Group will charge the orderer – depending on the size of the cancelled event and date of cancellation – as follows:

8-15 people7 days before the date of the event
- no charge
4-6 days before the date of the event
- 50% of the order value
0-3 days before the date of the event
- 100% of the order value
16-30 people14 days before the date of the event
- no charge
7-13 days before the date of the event
- 50% of the order value
0-6 days before the date of the event
- 100% of the order value
30-50 people21 days before the date of the event
- no charge
14-20 days before the date of the event
- 50% of the order value
0-13 days before the date of the event
- 100% of the order value
over 50 people or a private event30 days before the date of the event
- no charge
14-29 days before the date of the event
- 50% of the order value
0-13 days before the date of the event
- 100% of the order value

 

6. Changes to menus

If menus are changed, the catering is charged as à la carte orders.

7. Validity of a table reservation

A table reservation is valid 15 minutes from the agreed time of arrival. Palace Kämp Group reserves the right to charge a reservation fee for a table reservation.
